EDI-Link

EDI-Link
is a different way of thinking about the capture and distribution of information.

All businesses have the same issue. How best to provide and share information with multiple partners throughout the supply chain. As the amount of information required continues to rise, capturing and providing information is a growing cost and should be addressed as one.

EDI-Link saves time and money by simplifying the sending of information between authorized parties.

Depending on the needs of the sender and the receiver of the information, EDI-Link works in two basic ways.

  1. The Automated Distribution of Forms and Reports

Sometimes, the best way is by providing a "physical copy" of the form or report. But how? Unreliable faxes, multiple email attachments, snail mail?

EDI-Link handles the distribution of forms and reports by consolidating the forms into a single PDF file and electronically transmitting the file to a user maintained list of email addresses.

Prior to submitting the forms the user has the ability to add comments that will appear in the email being generated. In addition, other data fields can be included in the email, including the Entry Number, PAPS or PARS number, Port of Arrival and internal document number.

When the email arrives at its locations, it will contain:
    • A copy of the forms and reports that were printed.
    • The comments and other data elements added by the sender.
    • A link to a URL where a copy of the forms and reports that were printed is stored.
    • A "Confirmation Notice" link that will send an email back to the original sender, acknowledging receipt.

    Benefits for the Sender
    • Works with any software that prints documents
    • Reduces clerical costs of preparing & managing paperwork
    • No long distance costs for faxing
    • Documents are perfectly clean with no distortion so no Ambiguity
    • Archived paperwork for future reference (on EC Global server)
    • Multi-site document submission

    Benefits for the Receiver
    • Simplified and standardized method of receiving paperwork
    • Reduces clerical costs of preparing & managing paperwork
    • Documents are perfectly clean with no distortion so no Ambiguity
    • Archived paperwork for future reference (on EC Global server)
    • Clients can be emailed a link for initial setup and be sending PDFs in minutes.

  2. The Automated Distribution of Data

The real power of EDI-link lies in its ability to capture the actual data from users' forms, transforming a report from a simple printed page to a computer file of information. EDI-Link "maps" to a user's existing forms and "pulls" the data from them, either while the form is being printed (pretty cool, huh?) or afterwards by processing a PDF file.

Once the data is captured, the distribution capabilities of EDI-Link are employed to automatically create and distribute both the forms AND THE DATA to authorized parties in the method and file format that each requires. In addition, the data can be imported into internal systems and databases for in-house use.

During the process, the user has the ability to add data fields can be included in the data file being distributed. These can include the Entry Number, PAPS or PARS number, Port of Arrival and internal document number.

    Through the use of
External Databases, associated information (i.e. Price, Tariff, Country of Origin, Producer, etc.) can be stored and automatically retrieved from the databases and included in the final shipment file(s). This prevents the source documents or files from having to include all required information. The accuracy of the data that is maintained in the external databases is the responsibility of the individual parties, including the Shipper, Importer of Record and/or the Customs Broker. EC Global Dynamics does not enter or provide the data.

    Benefits for the Sender
    • Works with existing forms and files, including native Spreadsheet or Word files
    • Document does not have to be formatted in any particular way
    • Flexible parts and other database management - can be managed by broker or client
    • Improved document/data flow
    • Minimal amount of operational change required by the sender
    • Quicker clearance

    Benefits for the Receiver
    • Eliminate duplicate data entry
    • Clean data transfer resulting in clean data
    • Flexible parts management - can be managed by broker or client.
    • Improved document/data flow
    • EC Global consulting services for more sophisticated implementation (TranSendIT, ODBC access, custom solutions, etc.)
    • Minimal technical support required.

Think Outside the Box

Access to information the sender needs to, well, send is not limited to EDI-Link pulling data from forms. Each company is different, with differing needs and abilities to provide information. Some can produce forms; others can generate computer readable files. Others have different methods. We work with the individual client to identify the sources of the information that is needed, with a goal of MINIMAL DISRUPTION IN DAY-TO-DAY OPERATIONS. It is our responsibility to build solutions that integrate into existing processes, not force companies to change to provide electronic data.
